Change Appointment Statuses & Colors

Colors and statuses are designed to help distinguish between different types of appointments on your calendar and in reports. The video below shows how to change appointment status.

 

 

  


In addition to viewing appointment colors by Status, you can also choose to color your appointments by Staff Member or by Service Group Type. We've made it very simple to switch between your choice of colors, and we'll cover each in this article:

1. Appointment statuses and default colors

Changing the appointment status helps you keep on top of your appointments and keeps other staff members informed of the client's whereabouts. By default, a new appointment will be marked on the calendar as blue, and changes colors based on the status of the client for the appointment:

  • Blue: Confirmed
  • Yellow: Arrived
  • Green: Started
  • Gray: Completed (invoice generated)
  • Red: No Show

Changing the appointment status will update the appointment's color and add a unique icon to the top right hand corner of the appointment. To update an appointment status:

  1. Head to Calendar and select your appointment
  2. View the Appointment Statuses options on the right hand side of the appointment
  3. Select your status to update the color of the appointment. The color will update automaticallyScreen-Shot-2018-05-29-at-10.34.38.jpg

 

TIP: If your appointment does not change color by status, you will need to head to Setup > Calendar Settings and change your Appointment Color to By Booking Status and Save Changes. 


2. Color appointments by staff member

You can update your Calendar Settings to color appointments based on the staff member providing the service:

  1. Head to Setup > Calendar Settings to change your Appointment Color to By Staff Booked and Save Changes
  2. Now go to Staff > Staff Members to select your staff member and allocate their preferred color
  3. Head back to Calendar and select a slot to create an appointment
  4. The appointment is now colored based on the Staff Member's color settings.

3. Color appointments by service group

Another popular color combination is to color appointments based on the service type, as it allows staff to quickly understand the service being provided with just a glance at the calendar.

 

To color appointments by Service Group:

  1. Head to Setup > Calendar Settings to change your Appointment Color to By Service Group and Save Changes
  2. Now go to Services to select your service group and allocate the preferred colorsarea-1527667944509.gif
  3. Head back to Calendar and select a slot to create an appointment
  4. The appointment is now colored based on the Service Group's color settings.

Regardless of how you configure colors on your calendar, completed appointments will always appear as gray, and No Show appointments will always appear as red. This is to help you keep track of which appointments have been completed (see how to Raise an Invoice) vs. those that are still upcoming.
